A Quoting App That Works With Xero and QuickBooks (UK)

The most annoying job in a small trade business isn't quoting — it's typing the same job twice: once into the quote, then again into Xero or QuickBooks when it's accepted. Twice the typing, and one mistyped figure means your accounts and your quote disagree.

The fix is a quoting app that pushes accepted jobs into your accounts package for you. Here's what that should look like, and which tools actually do it.

What a proper integration does

A real Xero/QuickBooks integration for quoting should:

  1. Create a draft invoice, not a sent one. You review it in your accounts package before the client sees anything.
  2. Carry the itemised lines across — labour, materials, markup — not one lump sum.
  3. Handle VAT correctly on each line.
  4. Never make you retype. Connect once, push per job.

The AI-quoting catch nobody mentions

The new wave of AI-first quoting tools mostly skipped accounting integration. Qted — the closest AI-first rival to Speqly — lists Stripe, Google Calendar, WhatsApp, email and SMS, but no Xero and no QuickBooks (checked on their site, 27 August 2026). Which means every accepted quote still gets typed into your accounts by hand.

The established job-management platforms (Tradify, Powered Now, YourTradebase) do integrate with Xero and QuickBooks — but they don't do AI pricing from photos. As of August 2026, Speqly is the combination for Xero users: AI quoting from site photos plus draft-invoice push into Xero, with QuickBooks Online support in development.

Why "draft invoice" is the right design

Some tools push a final, sendable invoice. That sounds efficient and is actually a liability: the moment your quoting tool can send invoices on your behalf, an error reaches your client with your VAT number on it. A draft keeps your accounts package as the source of truth and you as the last check. It's also what accountants prefer to see.

Xero users: don't quote inside Xero

Xero has a built-in quotes feature (from £16/month on the Ignite plan), and if your quotes are one-line documents it's fine. But it has no digital acceptance flow, no visuals, and no way to build the quote from the job itself. The better pattern: quote in a dedicated tool that wins the work, and let it feed Xero. Same for QuickBooks' built-in estimates.
