Free Builder Estimate Template UK (And Why Most Builders Use It Wrong)

Every builder needs a reliable estimate template. Most have one. Most are using it wrong.

The template itself isn't the problem — it's what gets put into it, and what gets left out. This guide gives you a solid estimate structure you can use today, plus the issues that turn a good estimate into a lost job.


Quote vs Estimate: Which Should You Be Sending?

Before the template: a quick clarification that trips up a lot of builders.

A quote is a fixed price. Once accepted, you're bound to it. An estimate is an approximation. It can change if circumstances change.

For most residential building work — extensions, renovations, conversions — you should be sending quotes, not estimates, wherever possible. Clients want certainty. "Estimate" sounds like the price could go up at any point, which creates anxiety.

Use estimates when there are genuine unknowns (e.g. you can't fully assess a structural issue without opening up a wall). For everything else, commit to a price.

That said, the template structure below works for both. Just adjust your heading and add appropriate caveats if sending an estimate.

How to Use This Template Properly

Fill in every section — don't leave blanks

A blank section in a quote looks like you forgot. If something doesn't apply, delete the section or write "N/A — not applicable to this project."

Be trade-specific in the scope

The scope section above is a skeleton. Replace the generic headings with specifics for your project. The more detail you include, the more confident a client feels that you actually understand the job.

Adjust VAT carefully

VAT on building work isn't always 20%. Certain renovation work on existing residential properties qualifies for 5% VAT — specifically work that's been empty for 2+ years, or certain conversions. If you're unsure, check with an accountant. Getting this wrong either loses you jobs (overcharging) or costs you money (undercharging).

Use stage payments on larger jobs

For anything over £5,000, stage payments protect you and make the client feel more comfortable. Tie each stage to a visible milestone — not just arbitrary dates.


Why Most Builders Use Templates Wrong

The template is a starting point — not a finished quote. The mistake most builders make is sending a half-filled template with vague scope sections and no client personalisation.

A quote that says "Dear Homeowner" is a quote that says "I send the same document to everyone." A quote addressed to "Mr. and Mrs. Thomas, 14 Elm Drive" with project-specific details shows you've paid attention.

Personalisation takes two extra minutes and meaningfully increases your conversion rate.
